Regional Purchasing Manager

Position Summary
The Regional Purchasing Manager is responsible for overseeing procurement and supply chain operations for Mad Monkey Hostels properties across Indonesia. This role ensures cost-effective purchasing, supplier reliability, inventory efficiency, and consistent quality standards while supporting hostel operations, food & beverage outlets, events, and guest experience initiatives.
The ideal candidate combines strong negotiation skills, operational understanding, and vendor management experience within hospitality, food & beverage, or multi-site operations.
Key Responsibilities
Procurement & Purchasing
Develop and implement purchasing strategies for all hostel locations in Indonesia.
Source, negotiate, and manage suppliers for:
Food & beverage
Housekeeping supplies
Maintenance and engineering materials
Furniture, fixtures & equipment (FF&E)
Event and entertainment supplies
Ensure competitive pricing while maintaining quality standards.
Consolidate purchasing across properties to maximize economies of scale.
Monitor market trends, pricing fluctuations, and supply risks.
Supplier & Vendor Management
Build and maintain strong relationships with local and national suppliers.
Evaluate supplier performance on pricing, delivery, quality, and reliability.
Conduct regular supplier audits and contract reviews.
Identify alternative vendors to reduce operational risk.
Inventory & Cost Control
Work closely with property managers and department heads to maintain optimal stock levels.
Monitor inventory usage and purchasing patterns to minimize waste and overstocking.
Support monthly stock counts and variance analysis.
Implement cost-saving initiatives and purchasing controls.
Operations Support
Coordinate purchasing logistics between multiple hostel locations.
Ensure timely delivery of supplies to all properties.
Support new hostel openings, renovations, and expansion projects.
Collaborate with kitchen, bar, housekeeping, maintenance, and events teams to forecast operational needs.
Compliance & Reporting
Ensure purchasing practices comply with company policies and local regulations.
Maintain accurate procurement records, contracts, and supplier documentation.
Prepare regular purchasing reports, savings analysis, and budget tracking.
Support finance teams with invoice verification and payment coordination.
Requirements
Bachelor’s degree in Supply Chain, Business Administration, Hospitality Management, or related field preferred.
Minimum 4–6 years of purchasing or procurement experience, ideally in hospitality, hotels, restaurants, or multi-site operations.
Experience managing regional or multi-property procurement operations.
Strong negotiation and vendor management skills.
Excellent organizational and analytical abilities.
Proficiency in inventory systems, Excel, and procurement software.
Strong communication skills in English and Bahasa Indonesia.
Ability to travel frequently between hostel locations in Indonesia.
Experience in fast-paced hospitality or lifestyle brands is highly desirable.
Preferred Qualifications
Hospitality or hostel industry experience.
Existing supplier network within Indonesia.
Experience with cost control and budgeting.
Understanding of import/export and local sourcing processes.
