Reporting to Power Plant Manager, the CFPP Admin and Document Controller is responsible for managing an accurate, timely and effective document control system according to the policy and procedure with the objective to meet the international standard and compliance as well as providing office and administrative support to either a team or individual relating to records management, travel arrangement for roaster personnel, data entry, accounts/invoices, purchasing, procurement, communications, and meeting/event logistics.
Some of your duties will include:
Undertake a variety of administration functions to provide accurate, timely, typing recording and sorting incoming & outgoing correspondence.
Administration functions include Travel Arrangements & Expense claims.
Process invoices; prepare expense claims; administration of petty cash; maintain stationary budget; and process timesheets.
To support IT team in order to regularly ensure the completeness of individual shipping document by using check list.
Arrange delegation of authority into SAP, arrange BRMS, coordination with IT department related to IT related facilities.
Support Major and Minor Shutdown including handle BRMS, Transport, Accommodation and Meals, etc.
Compiling and update Roster information (including leave), Meeting arrangements, managing office supplies & arranging safety meetings.
Providing support to visitors such as preparing PPE, arranging transportation and accommodation, applying for pit permit requests, function requests etc.
Proactively and promptly notify supervisor or senior colleagues of concerns or problems which may occur.
Coordinate meetings or events which may include preparing agendas, invitations, catering, note/minute taking, distributing actions and general organisational support.
Operate office machines such as telephone, photocopier and scanner.
Take care of the office workspace, mail and office equipment.
Contact to other departments whenever required by the team members such as HR, Finance, IFMS etc.
Maintain and update document control system, prepare documents transmittal for all distribute documents, logging all received documents, reproduce and issue documents, maintain and update hardcopy, softcopy documents in Technical Document Control (TDC) system and maintain Library.
Supports of technical teams, departments and projects in the filing and storing of project related documentation. Documentation may be of a confidential or sensitive nature and needs to be stored in line with company and industry guidelines.
Manage, compile, store and process information data and wholes documents of Mine Project effectively, so that they can be found and submitted quickly to document users.
Manage, control whole Project Technical documents in the document storage system in compliance with applicable international standard requirements, by collaborating with internal & external ISO auditors.
Other duties as assigned.
What skills and experience do you need?
Minimum 5 years of experience as a Document Controller, with exposure to EPC and/or Engineering & Construction projects, plus 3–5 years in an office/administrative environment
Relevant qualifications in Administration/Management (Degree preferred) with Document Controller and ISO 9001 certification; Business Administration certification is an advantage
Strong expertise in document control, records management, and administrative procedures within technical/project environments
Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and experience in Data Management Systems and SharePoint
Excellent communication skills in Bahasa Indonesia and English, both written and verbal
Strong organizational, time management, and multitasking skills, with the ability to manage multiple project timelines in a fast-paced environment
Demonstrates high integrity, problem-solving ability, teamwork, and customer-oriented mindset, with strong analytical, decision-making, and stakeholder management skills
