PT. Forward Business Solution are seeking a dedicated and detail-oriented Operations Manager to join our team in Lombok. This is a full-time, on-site position responsible for supporting daily office operations and ensuring organizational efficiency. The ideal candidate will be proactive, organized, and capable of handling a variety of administrative and clerical tasks to support the smooth running of the office.


Job Requirements



Bachelor's or master’s degree in Business Administration, Office Management, or related fields
Proficiency in English both written and spoken (all of daily conversation will be conducted in English)
At least 5 years of administrative experience in the construction industry, with hands-on involvement in site coordination, documentation, and project support activities
Ability to manage documents, schedules, agendas, and data systematically.
Able to prioritize tasks efficiently.
Detail-oriented and neat in handling work.
Strong verbal and written communication.
Able to convey information clearly, politely, and professionally.
Comfortable interacting with various internal and external parties.
Able to complete multiple tasks within deadlines.
Works well under pressure without compromising quality.
Skilled in multitasking and prioritizing workload.
Proficient in Microsoft Office (Word, Excel, PowerPoint), email, onedrive, and Google Workspace.
Able to operate administrative systems
Maintains confidentiality of sensitive documents and information.
Reliable and responsible in completing tasks.
Shows integrity and loyalty to the organization.
Able to review and interpret data.
Takes initiative and doesn't wait to be told what to do.

Responsibilities

Organize and manage filing systems (physical and digital).
Ensure office equipment is functional and coordinate repairs when needed.
Prepare and maintain accurate administrative records, reports, and correspondence.
Handle incoming and outgoing mail, whatsapp, emails, and phone calls.
Maintain good communication between internal departments and external stakeholders.
Assist with petty cash, invoicing, and basic financial reporting.
Coordinate purchases and liaise with suppliers/vendors.
Coordinate with site teams, engineers, subcontractors, and vendors to ensure timely documentation and support.
Assist in scheduling meetings, preparing agendas, and taking/distributing meeting minutes.
Monitor project timelines and maintain calendars for inspections, deadlines, deliveries, and other key activities.
Handle administrative tasks such as filing, scanning, printing, and maintaining office and site supply inventories.
Maintain confidentiality of sensitive information, including contracts, employee records, and financial documents.
Respond to internal and external inquiries in a timely and professional manner.
Update and maintain project tracking systems in OneDrive,
Ensure consistent naming, version control, and archiving of all documents.
Assist project managers and engineers in preparing reports, presentations, and correspondence.
Contribute to a positive, organized, and efficient work environment, both in the office and on-site.
Support project closing activities, including final documentation, handovers, and archiving.


Qualifications

Preferred Associate’s or Bachelor’s degree in Business Administration, Office Management, or related fields
At least 5 years of administrative experience in the construction industry, with hands-on involvement in site coordination, documentation, and project support activities
Excellent English knowledge (spoken/written)
Organised and have good interpersonal skills.
have good computer skills ( MS Word, Excel, Powerpoint).
Willing to relocate and stays in Kuta, Lombok
Complete Five years of relevant work experience
