Job Title: Operations Executive / Operations Assistant

Reports to: Operations Manager

Job Summary:

The Operations Executive / Operations Assistant is responsible for supporting the daily operations of the organization. This role involves assisting the Operations Manager with administrative, logistical, and coordination tasks to ensure the smooth and efficient functioning of all operational processes.

Key Responsibilities:

-          Assist the Operations Manager in planning, organizing, and executing operational activities.

-          Coordinate and monitor daily activities and workflows across departments.

-          Maintain and update operational documentation, reports, and records.

-          Liaise with vendors, clients, and internal teams to support operational requirements.

-          Prepare and process purchase orders, invoices, and inventory records.

-          Track and report on key operational metrics and performance indicators.

-          Support logistics, scheduling, and resource allocation tasks.

-          Ensure compliance with company policies, procedures, and standards.

-          Handle basic troubleshooting of operational issues and escalate as needed.

-          Provide general administrative support including filing, correspondence, and calendar management.

Requirements:

-          Diploma or Bachelor’s degree in Business Administration, Operations Management, or related field.

-          Proven experience in an administrative or operations support role is preferred.

-          Strong organizational and multitasking skills.

-          Proficient in Microsoft Office Suite (Excel, Word, Outlook).

-          Good communication and interpersonal skills.

-          Detail-oriented with a proactive and problem-solving mindset.

-          Ability to work independently and as part of a team.

Preferred Skills:

-          Experience with ERP or inventory management systems.

-          Knowledge of supply chain or logistics processes.

-          Basic analytical and reporting capabilities.
